
The position:
Our Treatment Coordinators are the first point of contact patients have with our practice. As first impressions are lasting impressions, it’s vital that all patient interactions be energetic, exude positivity, and thoughtfully represent our practice. The Treatment Coordinator is a professional, organized, reliable, team player who has a vital role. You’ll be responsible for scheduling appointments, ensuring patients feel welcome and safe at the office, presenting treatment, explaining financial options, calculating co-payments, and following up.
We’re looking for an someone who understands that outstanding customer service is just as important as clinical care. This is not simply a scheduling or administrative position. We are seeking someone who can create an exceptional patient experience through professionalism, empathy, confidence, and clear communication.
If you’ve worked in healthcare, dentistry, luxury hospitality, concierge services, high-end medical practices, or other patient-facing environments where service excellence is expected, we’d love to meet you.
Here’s an example of what a Treatment Coordinator might do in a day:
- Calculate copayments and present treatment plan estimates to patients in the office
- Respond to incoming calls, emails, and text messages promptly
- Greet new patients and walk them through the registration paperwork
- Educate people about the details of their treatment plan and associated fees
- Help people understand their dental insurance benefits.
- Communicate and collect estimated patient co-pay amounts
- Work with outside patient care financing companies to offer a wide range of financial options
- Verify patient insurance eligibility prior to appointments
- Address and collect patient balances
- Correctly schedule future appointments to ensure doctors and hygienists are busy and productive
- Answer treatment questions patients have both before and after their visit
- Help with day-to-day tasks like tidying/sanitizing the reception area and stocking amenities
- Follow up via email or text with patients who haven’t scheduled their treatment
- Submit and follow up on pre-approvals
- Verify and submit insurance claims
- Generate and review reports
- Monitor treatment plans and case acceptance
- Address patient concerns and work with the team to improve service quality

Must have:
- Flexibility in regards to scheduling. Our office is open 7 days a week, including early morning, late evenings, and holidays. Successful applicants will able to work weekends and holidays
- Experience providing exceptional hospitality-inspired customer service in a fast-paced office
- Excellent attention to detail
- The ability to calculate percentages accurately and quickly using basic math skills
- A positive, friendly, and enthusiastic attitude
- Outstanding teamwork skills and the ability work with a diverse group of people
- Excellent phone and written skills
Preferred Qualifications:
- Previous experience in a dental office, medical office, or other healthcare setting
- Dental insurance verification, billing, or treatment coordination experience
- Familiarity with PPO dental insurance plans and benefits
- Experience presenting treatment plans, discussing financial options, or collecting patient payments
- Experience using dental practice management software (such as CareStack, Dentrix, Eaglesoft, Open Dental, or similar)

Capability Requirements
Majority of work is completed in a general office environment with exposure to moderate levels of noise in a well-lit, well-ventilated and fast paced environment; continuously required to read computer screens. Minimal travel is required, 5% or less; travel is regional in scope requiring travel by driving.
